Our office used to keep track of messages on slips of scrap paper. Often the people who received the slips of paper would lose the message and return to the message-taker asking for the information. Of course, the message-taker would not remember all of the information (its a busy office!). We had to find a solution. That is when we
discovered the convenience and efficiency of using the Adams Phone Message Book.
Description
This message book has a cardboard front cover and stiffer piece of cardboard as a back cover. The book measures 5 3/8" wide x 11" high and is filled with 400 sets of carbonless 2-part message forms. Four message forms fit on one page, and each message measures 4 7/8" wide x 2 3/4" high. The book is bound with a thick spiral wire.
Each telephone message has two parts. The top sheet is white and perforated along the edge that attaches it to the book. This white copy is torn from the book and given to the person receiving the message. The bottom copy of the message is a duplicate copy on yellow paper and always stays in the book.
Each message has the heading Phone Message and lots of lines to write information. The lines are labeled with the following: For, Date, Time, AM/PM. There is a line to write the name of the caller and where they are calling from as well as the phone number and fax number. Beneath this are four lines to write a message from the caller. In the lower right corner is an area for the message-taker to leave their name.
Along the right side of the message slips are several check boxes for the following selections:
* Telephoned
* Returned Your Call
* Please Call
* Will Call Again
* Came to See You
* Wants to See You
Our Experiences
Lost messages are a headache. Before we had this Adams Phone Message Book, it was a scramble to remember who had called ... and forget trying to remember a phone number. Now we have a reference for every phone caller who leaves a message. No more confusion. Not that we encourage people to lose their messages, but now they can lose their messages with confidence that the information isnt permanently gone.
The message slips are easy to use. Write with a pen on the top white sheet, jotting down all pertinent information. Medium to heavy pressure is necessary when writing so that the information also appears on the duplicate beneath the original. Tear the white sheet from the book along the perforated edge. The white sheet goes to the person receiving the message. There are no carbons. The carbonless paper automatically creates a duplicate message on the yellow sheet beneath it. This yellow sheet remains in the spiral-bound book. The duplicate message is easy to read, always available for reference. The spiral binding also allows for easy flipping of pages.
We have found this system works well. These slips are a nice size ... much better than scrap pieces of paper. Many people return to the Phone Message Book to refer to the duplicate copies of their messages. The spiral-bound books stack well on a shelf so that if someone needs to reference a phone call made months ago, that information is available.
These books are also a great way to keep track of incoming calls if one is interested in knowing who calls most frequently, the ratio of business calls to personal calls, who receives the most messages, or what time of day people are unavailable for answering phone calls. If you are an information gatherer, this is a great source of data regarding incoming phone calls.
Purchasing
OfficeMax and Staples sell this message book for $4.99 for a two-pack. Office Depot also sells this message book in a two-pack for $5.45.
Summary
The Adams Phone Message Book is a good solution for our message-losing personnel. Its also an inexpensive solution since we can purchase two books for $4.99 -- thats 800 messages. Now there are no excuses for unreturned phone calls!
