A Rainbow of Color for Filing Labels

Does anyone still have a typewriter in their office? If so, perhaps you still hand feed small sheets of file folder labels into the typewriter and manually type each file folder label. Put those labels down. If you have access to a computer, you have to try Avery Filing Labels in Assorted Colors for both Inkjet and Laser Printers. They are simple to use, and you will wonder why you never tried them before now.
Description
These labels come in a slim cardboard envelope prominently marked with the item number 5266. Inside the package are 25 sheets of labels. Each sheet contains white labels with a solid band of color along the top edge of the label (one color per sheet). The package includes 750 labels (5 sheets each of yellow, red, green, blue and a solid white label). These labels are 2/3" x 3 7/16", a rectangular size that fits on 1/3 cut file folder tabs.
Each label sheet is the size of a piece of copy paper (8 1/2" x 11") to fit in the printer. The labels are arranged on the sheet in two columns with 15 labels in each column. Along the top of each sheet is an arrow pointing up with the words "Feed From This End". To the right of these instructions are printed, "Use template for 5266".
Avery says these labels are archival safe and acid free. The paper is smooth, the colors bright. Each label has a vertical white line to indicate the center of each label. Each label also has a horizontal line to show center placement of text. The labels are designed to run through a printer and after printing, the labels can be individually peeled from the sheet.
Note these are permanent labels for use in either an ink jet or laser printer. Avery states these labels are "guaranteed to stick and stay". If you need removable labels, Avery makes those as well.
How to Use the Labels
The labels are designed for use in software programs such as Microsoft Word or WordPerfect (as well as other software programs). I use both of these programs and know the labels work well in each of them. These instructions may vary depending upon which version of software you are using, but this will give you a general idea of how the software works.
Microsoft Word
Open a new blank document. Click on "Tools", then select "Letters and Mailings" and/or "Envelopes and Labels". Click "Options" to choose the correct label style. A list of label choices is arranged in numeric order. Select Avery number 5266 in the menu, and then click "OK". You can select whether you wish to type an entire sheet of labels with the same text, or whether you want to type something different on each label. If you want the labels that say the same thing, then type the text in the small box on the screen and click "New Document". A page opens with the text inserted in the labels. Now you can format the text (font, size, bold, italic, etc.). Then print the labels.
If you want each label to say something different, then click on "Options" and choose the correct label style and click "OK". Next click on "New Document" to open a document that shows a page filled with empty labels. Type in the text you wish for each label and format it. You can create as many labels as you wish. When finished, print the labels.
WordPerfect
Open a new blank document. Select "Format" and then click on "Labels". A list of label choices is arranged in numeric order. Select Avery label number 5266. A new window opens showing one label. Type the text and format it however you wish (font, size, bold, italic, etc.). Hit the "Enter" key until the next label shows on the screen and type in the text for that label. Continue until you are finished. Note: If you want all the labels to say the same thing, copy the text in the first label and paste it in the other label fields. You can create as many pages of labels as needed and print them all at the same time.
A WordPerfect Tip: I find that the text prints close to the colored band at the top of the label. It is simple to fix this glitch. A dotted blue line appears at the top of the label. Rest the cursor over the dotted blue line and pressing the left mouse button pull the blue line down one space. The labels will now print a comfortable distance from the colored bar. And ... best yet ... you only have to pull the blue dotted line down on the first label and all the other labels automatically follow the new format.
Printing the Labels
When finished creating the labels, it is time to print them. Simply place the labels in the printer with the arrow at the top of the label sheet facing toward the paper feed slot. Click Print ... and you are done.
If you use labels like I do, then there are times when you won't need to print an entire sheet of labels. I have not had a problem using some of the labels on a sheet and at a later date reusing the partial sheet of labels. As a precaution, do not reinsert in the printer a partial sheet of labels just after printing on them. The labels may retain heat from the printer and potentially cause printing problems. If reusing the same sheet of labels more than a few times, the white on the labels begins to look dirty (as it picks up particles of carbon from repeated exposure in the printer). Note: Avery does not guarantee these labels as jam-free if a sheet is used more than once in the printer.
I have never had Avery labels peel from the sheet while printing. These labels work great in the printer. Avery also guarantees these labels are "jam free".

What if you don't have a software program that includes built-in templates to use Avery labels? Avery's website (www.avery.com) provides many free templates and programs to use them.
You can download Avery Wizard, a free add-in program that launches with Microsoft word. This program walks the user step-by-step through creating labels, dividers and cards using Avery products. You can also download a free limited version of Avery DesignerPro Software. This product offers templates for most Avery products.
Avery also offers a free service called Avery Print. This enables you to design your labels directly online and them print the finished product from the web. This service walks you through the design of your labels, even allowing a choice of different fonts and formatting. In order to use this service, you need an internet connection, browser software such as Internet Explorer and Adobe Acrobat Reader. I tried Avery Print just to experiment. The labels look great, though for some reason the print toward the bottom of the sheet gradually shifted upward so that the last few printed labels printed the text over the colored band at the top of the label.

Summary
I enjoy using Avery Filing Labels in Assorted Colors for both Inkjet and Laser Printers. The labels cost $20.39 at Staples and $19.99 at OfficeMax. I can't imagine going back to a typewriter to prepare file folder labels. Using these labels in the computer makes creating labels fast and easy. And whatever saves me time and aggravation is a good thing!
