Our office receives a lot of paperwork. As with most businesses, some of these papers are more important than others. And {gasp!} if one of these important papers happens to lose its way between Desk A and Desk B ... well, I wont go there. But its not a pretty sight. When documents are time sensitive, its important to know when they enter the office. Our office uses the X-Stamper VersaDater Pre-inked Received Stamp to help keep track of when papers enter the never-ending stream of documents flowing through the building.
Description
I usually dont think of office stamps as being pretty. While I wont go so far as to say its attractive, it does have a certain eye-appeal with its light green top and putty-colored base. The green is an odd color. Im not sure whether to call it a shade of aqua or perhaps teal. The green handle is attached to the base by two metal phillips head screws, one on each side of the handle. This Xstamper is 3 3/4" tall x 2 3/4" wide x 2" deep.
When standing on a desk, this stamp resembles an upside down T. The handle is 2 3/4" high and is easy to grasp. There are three ridges on each narrow side of the top for fingers to hold so that there is less chance of the hand slipping on the smooth plastic handle. If you dont like holding the stamp that way, there are also two curved indents on the handle front and back for grasping. Also on the front/back of the handle are four red grooved wheels that control the date function.
The red wheels have fine grooves in them for easy turning, and the wheels can move in either direction. Its simple to change the date on this stamper. Each wheel controls one aspect of the date: Month, first date digit 0-9, second date digit 0-9, and year. The Xstamper includes years covering a 10-year period. The date prints in red.
The bottom of the rectangular stamp has a removable cap. This cap protects the inked stamp pad. Two raised plastic circles on either side of the stamp keep the cap firmly in place until it is pulled off. So that it is obvious this stamp says Received, a sticker with the word Received is
affixed on the base.
Using the Xstamper
This stamp prints a 2 1/8" wide x 1 5/16" high impression. Simply remove the base cap, adjust the date if needed, and firmly press the stamp against paper. The image is crisp, easy to read with no blurry lines or bleeding.
A red date prints in the center of the impression and is surrounded by a blue rectangle. Around the rectangle is the word Received. The R is large and fills the left side of the stamp, framing the blue rectangle. The D in the word Received is also large and fills the right side of the stamp, framing the blue rectangle. Another rectangular blue box encloses all the wording
and date.
The capital letters in the word Received are printed so that they look hollow. Some coworkers tend to treat these letters as a coloring book and use pens or markers to fill in the lettering while they talk on the phone. A white space beneath the date that is 2 1/8" wide x 1/4" tall offers space to write an additional note. Or, if you are creative, its a great doodling place.
There are several options other than stamping an entire date. The words Faxd, Paid and Recd are on the stamp in capital letters and can replace the year if chosen (ex: MAY 19 PAID. There are also optional blank spaces or a dash to replace either of the date digits (ex: MAY -1 2004). Each month is spelled in capital letters and is a three-letter abbreviation. The way the month, two digits and year are arranged on the stamp ... there is extra space between each section for easy reading.
Each section has a blank space. Instead of the month, or a number or year, twirl the dial to the blank space. The blank space appears as a clear area on the paper no ink. If the blank space is chosen for each section, no date will stamp on the paper. If desired, this creates a large blank area for handwriting. This might come in handy when you need people to initial a document or for noting special instructions.
Office Politics
Our office has one of these Xstampers, and it sits on a designated desk. That way everyone knows where it is. The person who sits at the desk is in charge of changing the date and stamping most of the documents. The stamp is usually applied to time-sensitive paperwork that arrives in the office. Not every document is stamped ... such as the faxes offering Florida vacations for only $99.
So far we have used the stamp for four years and have never had to replace the ink. This stamp delivers a lot of impressions. Should the ink need replacing, refill ink cartridges can be purchased.
Xstamper Care & Reinking
The manufacturer recommends that the stamp be stored in a dust-free environment. The sticky side of tape can be used to remove any dust or small particles that may gather on the stamp surface. The manufacturer also says, Plain rubbing alcohol on a dust-free cloth can be used on the stamp surface to clean any dirt which may build up. Never rub the stamp surface hard or allow sharp objects to come in contact with the rubber.
Reink the stamp when the impression becomes consistently light. The manufacturer highly recommends using Xstamper refill ink as other brands might cause clogging.

Summary
Our office finds the X-Stamper VersaDater Pre-inked Received Stamp an important tool for keeping track of time sensitive information. It was definitely a good purchase. If I could, I would stamp this Epinion with a Received date so that you could reference when you read it!
